Requests Page

The Requests Page provides a centralized view of all user submissions collected through the Smart Request System. Once a request FormGent form ( Smart Request System Form ) is submitted , the entry becomes visible under Smart Request System → Requests within the WordPress admin area.

This page allows administrators to monitor, filter, and manage incoming requests efficiently while providing progress insights through real-time counters and status indicators.

Step 1 – Access the Requests Page

  • Navigate to Smart Request System → Requests in your WordPress Admin Panel.
  • Only users with administrative privileges can view and manage all submissions.

Step 2 – Requests Summary Counters

  • At the top of the Requests Page, two key counters provide a visual overview of all submissions received and those made on the current day.
  • Total Requests: Displays the cumulative number of form submissions linked with the Smart Request System.
  • Submitted Today: Shows how many new requests were received today.

Step 3 – Filter Options

  • Administrators have access to an inline filter located beside the Total Requests counter.
  • This dropdown allows filtering submissions based on approval status for better data management.

Available Filters:

  • All Requests: Displays every request entry.
  • Approved Requests: Shows only the requests that have been approved.
  • Not Approved Requests: Shows only the requests that have been not approved.

  • Above filters are automatically generated from the fields selected under ‘Advanced Settings → Show in Search Form.’

Step 4 – Submission Progress Visualization

  • Beneath the “Submitted Today” counter, the page displays a count that visualizes today’s submissions relative to the total.

Step 5 – Requests List Overview

  • Below the counters, the system lists all request entries captured from the connected FormGent form.
  • Each row in the table represents a unique submission, displaying essential information such as:
    • Request ID
    • Form field data
    • Submission date and approval status
    • Available actions ( e.g. Approve, Reject )

Step 6 – How It Works

  • The Smart Request System retrieves entries from the FormGent form configured in the Settings Page.
  • Submitted requests are visible to end users.
  • Counters, filters, and submitted today automatically update as new requests are submitted and processed.

Step 7 – Notification System

  • All button-triggered actions automatically send the relevant email and/or SMS notifications using the configured templates.
  • Administrators can define message content, dynamic placeholders, and communication style from the plugin settings.
  • Go to Smart Request System → Email & SMS Templates
  • Edit message subject, body content, and placeholders
  • Add or modify SMS message text

Step 8 – Button Labels & Text Customization

  • All button texts, labels, and success messages can be modified via the Text Customizer.
  • This allows for full flexibility in branding or localization—without editing code.
  • Go to Smart Request System → Text Customizer
  • Update the names of buttons, tooltips, and UI messages

Step 9 – Logs Integration

  • The same page also includes logs functionality, allowing administrators or users (depending on permissions) to track all actions related to requests.
  • Each time a button is submitted or a request is updated, a log entry is automatically created.

Step 10 – Frontend Request Display

  • Approved requests can also be displayed on the frontend for business users using the following shortcode: [scrba-approved-requests]
  • Place this shortcode on any WordPress page or template to show a user’s approved requests.
